Clone contracts to the following year (formerly Flip)

This tool enables you to transfer contracts from one season to the same season the following year. For example, you would be able to copy the contracts from the winter 2022 season to the winter 2023 season. Note that the copied contract will not be completely identical to the original one, some elements will be changed in the process.

Click on Management in the menu, then select the Companies option.

Migrate the data 

Before proceeding with the data transfer, make sure to put your portal in the desired season and adjust the year of operation in the Management - Config section. For example, if you want to move your summer contracts from 2021 to 2022, you must set the portal to Lawn and select the 2022 option from the Operation year - Lawn list. Then simply click the Clone contracts to button.

Note that this operation could take several minutes depending on the number of contracts to be transferred and the workload of the FolloSOFT platform at the time of the transfer.

 

Contract statuses 

When migrated, the contracts created will retain the sequence number of the previous year's contract, but will be given a specific contract number. In addition, their status will be adjusted according to the following rules:

1. Active contracts in 2022 will receive the Renewal status for 2023.
2. Renewal contracts will automatically be assigned the Old Customer status in 2023.
   
3. Contracts under Quotation/Submission remain unchanged.
   
4. Deleted contracts will not be transferred.
   
5. All other types will be transferred as is, including Cancelled contracts with the OPT-OUT option. For these, it will be up to the user to determine the course of action.
   
6. Active 2022 contracts with an deadline of over one year will remain active and will be transferred, for example, from Year 1 of 3 to Year 2 of 3. Contracts ending their final year will be transferred to the Renewal status of Year 1 of 3 or another, based on the specifications of the 2022 contract.

 Rebates in contracts

Only "Shared Driveway" discounts are transferred to the following year's contract. All other types will not transfered.

The balance on the base year contract will not be transferred to the destination year contract.

Once this operation has been completed, you'll be ready to prepare your renewal notices.
